Troop 743 Event Information Template


This is the new format that will be used to plan and disseminate event information to the troop. We will try to have all of this completed when first planning an event, and to publish it with this information provided. 

All details must be in place in order to publish and ensure a response:
[POST DATE: when should it go up on the site? Keep in mind that we post and email – email goes out at 3 PM Eastern regardless of when posted.]
[Reminder post DATE: When should we repost or remind to RSVP?]
Event Name:
A descriptive name , which promotes the event, or an official name if not a troop-organized event. Whatever will gain interest or give enough information.
Date(s) and Time(s):  
Start and end dates and times must be exact. If you are including time to meet, specify in the event description. This can, and should be very descriptive, as in start/meet/depart, and end/return:
                Start: Friday, March 23, 6 PM
                End: Sunday, March 25, 1 PM
Location (s):
Please provide whatever gives a complete description of the location, and, if possible, where I can find a link for directions. Also, if you want everyone to meet at the blue tractor tire, tell how to get there.
Uniform:
So many of our events involve a uniform, please specify any uniform requirements.
Description:
Description: give them a reason to want to go. Why should the parent and scout want them to attend?               
Bring: anything that would be helpful or required
Cost: how much?
RSVP: by when, and to whom? Give contact info.
Example:
“Please join us for the ______ service project. We are planning to serve our community by ________________, and you can join in the fun. Bring gloves and hats, and approximately  $10 for lunch.”
The point of this is that you may know the details of the event, but whomever is posting may not. The more complete the initial information, the less we have to play phone and email tag to get enough to post, and the more that our Scouts and parents have on which to make a decision about attending.
